Missed calls and lost leads: which numbers are real?
Contractors do lose business to unanswered calls, but the statistics you see online vary from about 28 percent to 62 percent of calls missed, and some of the most repeated numbers have weak sources. The best-supported finding is about caller behavior: in a 2025 CallRail survey of 1,000 U.S. consumers, 78 percent said they had abandoned a business after an unanswered call.
The numbers, ranked by how much to trust them
| Claim | Where it came from | How much to trust it |
|---|---|---|
| 62% of small-business calls go unanswered | A 2016 study of 85 businesses over 30 days. It counted voicemail as unanswered. | Directional only. Old and small. |
| 28% of business calls unanswered | CallRail platform data, with no stated sample size. | Directional. |
| 56% of calls answered by a person | Invoca benchmarks from its own customers across 10 industries. | Reflects one vendor's customers. |
| 47% of small businesses missed the first call | A UK study of 142 businesses commissioned by a receptionist-service seller. | Weak. Commissioned by an interested party. |
| 42% of consumers leave a voicemail; 78% abandoned a business after an unanswered call | A 2025 CallRail survey of 1,000 U.S. consumers. | Best-sourced of the set. Still a survey. |
| 69% of missed calls get no callback within 48 hours | Quo's analysis of 16.7 million missed calls on its platform. Counts phone callbacks only, not texts. | Useful, with the text caveat. |
| 80 to 85% of callers never call back | Widely repeated. One analysis found no primary source. | Do not rely on it. |
What this means for a contractor
The exact percentage does not matter as much as the pattern. You are on a roof or under a deck when the phone rings. If you do not answer, a large share of callers do not leave a message, and many move on to the next company. The cost is real even if no one can give you a precise number.
Measure your own, in one week
- Pull your phone's call log for the last 30 days.
- Count the calls you did not answer and the calls that came outside your working hours.
- Count how many of those you called back within an hour, and how many turned into jobs.
- Multiply the missed calls by your average job value and your usual close rate for a rough annual cost.
Practical fixes
- Reply fast by text. A missed-call text-back that says you will call within the hour recovers some callers.
- Put a booking link on your site and Google listing so people can self-schedule.
- Use an AI receptionist for nights, weekends, and busy hours. See AI phone assistants.
- Make sure your voicemail greeting names the business and says when you call back.
How to read statistics like these
Look for the sample size, who paid for the study, and whether voicemail counts as answered. A number from a company that sells the solution deserves a second look, including ours. That is why we show our sources.
A simple missed-call text-back
The cheapest improvement is replying quickly by text. Something like: "Hi, this is [name] at [business]. Sorry we missed your call. We are on a job. What do you need help with? We will call you back within the hour." Keep it short, name the business, and set a time. Avoid promising what you cannot do, and make sure the person can reply.
An example of the cost math
This is an illustration with made-up numbers. If you miss 30 calls a month, 10 of them are real new customers, and you would have closed 3 at an average of $8,000, that is $24,000 a month. Even if half of those would have gone elsewhere anyway, the cost is real. Replace each number with yours from your call log.
Common questions
What percent of small business calls go unanswered?
Estimates range from about 28 percent to 62 percent depending on the study. The widely cited 62 percent comes from a small 2016 study of 85 businesses that counted voicemail as unanswered.
Do callers leave voicemails?
A 2025 CallRail survey of 1,000 U.S. consumers found 42 percent say they leave a voicemail when a business does not answer.
How many customers do you lose from an unanswered call?
The same survey found 78 percent of consumers say they have abandoned a business after an unanswered call. Treat it as a survey result, not a precise loss rate for your business.
Is it true that 85 percent of callers never call back?
It is widely repeated, but one analysis found no primary source for it, so we do not rely on it.
What is the cheapest fix?
A fast text reply to missed calls and a booking link on your Google listing.
Should I answer every call myself?
You cannot while working. A fast text reply, a booking link, or an AI receptionist for after-hours calls are the realistic options.
